Management assistant / Executive secretary (full time)

We are looking for an experienced assistant to support the Director and department members, who are research scientists from all over the world. English is the main language used at our institute, next to Dutch and German. It is an international community with over 20 nationalities.

Our ideal candidate is highly motivated, accurate, reliable, intelligent, open-minded and flexible. (S)he has excellent organisational, communication and social skills, and is equally able to work in a team and independently.


Main activities

for the Director:

  • Manage appointments
  • Take care of travel booking and administration
  • Support recruitment of new department members
  • Organise meetings, workshops, outreach events
  • Provide general support (e.g. maintaining correspondence, publications, CV and personal website updates).

Many of these tasks also apply to the department members, but in addition the candidate should be able to:

  • Organise orientation procedures for new department members
  • Maintain the department website
  • Optimise office and work space organisation



  • Relevant vocational training and long-term professional experience.
  • (Nearly) native command of the Dutch and English language, both orally and in writing
  • Good command of the German language
  • Very experienced with Microsoft Office Tools


Conditions of employment

  • Position available from March 1st, 2020, though the start date is negotiable.
  • Full-time position (39 hours per week) with an initial term of appointment of 1 year with the prospect of a permanent contract.
  • The salary is according to the German TVöD (Tarifvertrag für den öffentlichen Dienst) and is classified in salary group 9a (depending on the experience of the applicant between EUR 2.952,16 and EUR 3.877,90 gross per month), based on a full-time employment.
  • In addition to the salary: an 8% holiday allowance
  • Pension scheme
  • Thirty days of leave per year (full-time employment)
